The gateway works directly at the mail infrastructure level and processes incoming and outgoing emails during transport.

A central aspect is full control over archiving and analysis.
Organizations decide themselves which:
- mailboxes are included
- domains are considered

Individual rules can be defined for this, for example:

This ensures clear regulation at all times of which communication is part of the intelligence analysis and which is deliberately excluded.

Archive and analysis level
Structured storage of communication
All relevant emails can be archived server-side.
Not only messages are stored, but also:
Metadata (sender, recipient, domains, timestamps)
Mail threads and conversation histories
Attachments
extracted content from documents (e.g. PDFs)
Attachments can additionally be processed so that for example:
PDF documents become fully searchable
content from attachments can be analyzed in the context of the mail thread
This creates a structured and searchable communication base.
Users can search for example by:

- document content within PDFs
- Communication with specific partners or domains
- Topics within mail threads

3rd level
Intelligence level
AI-powered analysis of communication
At the intelligence level, the system analyzes content and connections of mail threads.
Typical features include:
Spam and risk detection
Assessment of incoming communication
Identification of unusual message patterns
Indications of potentially risky content
Topic and context analysis
The system automatically recognizes what communication threads are about.
Examples:
- Contract discussions
- technical errors or problems
- Project coordination

These topics can then be displayed in aggregated form to make recurring patterns visible.
Summary of communication threads
Longer mail threads are automatically summarized in a structured manner.
For example:
- current status of a topic

Analysis of existing email archives
The Email Intelligence Gateway can not only be operated as an active mail gateway.
Organizations can also import existing email archives to use analysis and intelligence features – without changing their own mail infrastructure.

The import can be specifically controlled, for example:
