Secure transport and controlled processing of emails
The gateway works directly at the mail infrastructure level and processes incoming and outgoing emails during transport.

Verification or creation of S/MIME signatures

Application of defined security and processing rules

Generation of structured metadata for further analyses

Signing of attachments

A central aspect is full control over archiving and analysis.

Organizations decide themselves which:

  • mailboxes are included
  • domains are considered
  • E-Mails be archived dürfen
  • content may be analyzed – and which may not

Individual rules can be defined for this, for example:

  • Analysis of specific mailboxes or departments only
  • Inclusion of external communication only

2nd level

Archive and analysis level

Structured storage of communication
All relevant emails can be archived server-side.

Not only messages are stored, but also:

Metadata (sender, recipient, domains, timestamps)

Mail threads and conversation histories

Attachments

extracted content from documents (e.g. PDFs)

Attachments can additionally be processed so that for example:

PDF documents become fully searchable

content from attachments can be analyzed in the context of the mail thread

This creates a structured and searchable communication base.

Users can search for example by:

  • bestimmten Attachmentsn
  • document content within PDFs
  • Communication with specific partners or domains
  • Topics within mail threads

3rd level

Intelligence level

AI-powered analysis of communication
At the intelligence level, the system analyzes content and connections of mail threads.

Typical features include:

Spam and risk detection

Assessment of incoming communication

Identification of unusual message patterns

Indications of potentially risky content

Topic and context analysis

The system automatically recognizes what communication threads are about.

Examples:

  • Contract discussions
  • technical errors or problems
  • Project coordination
  • organizational decisions

These topics can then be displayed in aggregated form to make recurring patterns visible.

Summary of communication threads

Longer mail threads are automatically summarized in a structured manner.

For example:

  • current status of a topic
  • key arguments
  • open issues

This allows users to more quickly understand what extensive mail discussions are about.

Since users are authenticated there and their email address is known, the system can securely check which communication a user may see and which mail threads are relevant to them.

Analysis of existing email archives
The Email Intelligence Gateway can not only be operated as an active mail gateway.

Organizations can also import existing email archives to use analysis and intelligence features – without changing their own mail infrastructure.

exported mailboxes (e.g. EML or PST)

selected mail threads

individual emails or attachments

The import can be specifically controlled, for example:

Three ways to get started with email intelligence

Organizations have different starting situations. The Email Intelligence Gateway therefore supports three flexible entry scenarios.

Analysis of communication directly during mail traffic

Emails are processed upon receipt or dispatch and can:

  • be checked for security relevance
  • be archived
  • be structurally analyzed
  • be transferred into knowledge context

Analysis of existing email archives

Email archives or mailboxes can be imported to retroactively analyze communication and use it as a knowledge source.

Analysis of defined communication areas only

Organizations can specifically define:

  • which mailboxes are analyzed
  • which communication is included
  • which content is deliberately excluded

This allows email intelligence to be introduced gradually.
